# Privacy Policy

Last updated: 30 October 2026

## 1. Who we are and how to contact us

This website is operated by Craft Wales Ltd, at Unit 13 & 14, Sycamore Close, Duffryn Business Park, Ystrad Mynach, Hengoed, CF82 7RJ. Craft Wales Ltd is the data controller, responsible for deciding how personal information collected through this website is used.

You can email info@craft-wales.co.uk or ring 01443 858 113 (+441443858113) about this policy or your information.

Company registration number: 05622555
To ask about your own personal information, write to us at info@craft-wales.co.uk.

## 2. Information you give us

The enquiry form collects your name, organisation, email address, phone number, the kind of project you want, who it is for, the site town or postcode, your message, any photographs of the site you choose to upload, and your agreement to being contacted. Optional fields can be left blank. We save the enquiry, any uploaded photographs and the time it arrives in our private website storage.

The concept tool asks for your name, organisation, email address, phone number and agreement to contact. At present, the name, organisation, phone number and checkbox are checked in your browser but are not saved as an enquiry by this tool. Your email address is sent to our server to calculate a one-way fingerprint which records how many pictures you have requested. The allowance records store that fingerprint and request identifiers, not your readable email address.

Your structure choices and any notes are sent to the picture-generation service. If you upload a site photograph, it is sent to that service to create a concept. Uploaded photographs are not kept in this website's database or photo library; they are processed for the request. This does not establish how long the external picture service may keep processing records or images.

Please do not include sensitive personal information in messages or notes. Avoid uploading photographs showing identifiable children, other people or private documents.

## 3. Why we use your information

- Answering enquiries and preparing quotations: legitimate interests, because you have approached Craft Wales asking us to respond or prepare a quotation.
- Carrying out a job and providing aftercare: performance of a contract, so we can deliver the work and aftercare we have agreed with you.
- Marketing to people who have bought from Craft Wales: legitimate interests, to tell existing customers about our work. Every marketing message includes an unsubscribe link.
- Marketing to people who enquired but did not go on to buy: consent, given by opting in to receive marketing.
- Keeping accounting and tax records: legal obligation, to meet our record-keeping duties.

We use the concept tool's email fingerprint to enforce the picture allowance and prevent misuse. Our lawful basis is legitimate interests in providing a usable service and controlling abuse.

The contact checkbox records your permission to reply about your enquiry. It is not a subscription to marketing emails. We do not use this checkbox as permission for unrelated marketing.

## 4. How long we keep information

- Enquiries that did not become a job: 24 months from the last contact.
- Customer records: 7 years from the end of the last job, in line with our retention period for financial records.
- Concept tool allowance records: 12 months.

Site photographs uploaded to the concept tool are forwarded to Lovable's picture service for the request and are not saved in this website's database or photo library. Generated concepts are returned to your browser for display, without being saved in the website's database or browser storage. The website does not set a retention period for the outside service's copies of images or processing records, and we cannot confirm that service's retention period from the website configuration.

## 5. Who receives information

- Lovable hosting: delivers the website and runs the website's enquiry and concept-request processing.
- Lovable Cloud: provides the database and storage for enquiries, uploaded enquiry photographs and concept allowance records.
- Lovable AI: receives structure choices, notes and any uploaded concept photograph to generate or edit a concept picture; your email address is not included in the picture instructions.
- Google: receives connection information when your browser loads Google Fonts or an embedded Google Map.
- Feedbucket: supplies the website feedback widget; loading its script connects your browser to Feedbucket, and feedback you submit is sent through that widget.

The website currently saves enquiries without sending an email notification. No email delivery service is connected to these forms. Clicking a social or other external link takes you to a service with its own privacy policy.

The website configuration does not establish the countries where these providers process information or the safeguards applying to any international transfers. We therefore do not claim that all information stays in the UK or that a particular transfer arrangement applies.

Information may also need to be shared where required by law. Any sharing with advisers or other suppliers must be limited to what is necessary for the relevant purpose.

## 6. Cookies and similar technology

Cookies are small files saved by your browser. Browser storage can serve a similar purpose. The homepage currently shows an essential-cookie notice. When you dismiss it, your browser remembers that choice so the notice does not appear again. Dismissing it does not prevent third-party content from loading.

The public website's enquiry forms, search and concept tool do not set their own cookies or save their entries in local or session browser storage. The only item this website saves itself is the cookie notice preference listed below. Concept allowance records are held on the server, not in a cookie.

- `craftwales-cookie-notice` in local browser storage: records that you have dismissed the cookie notice, so it is not shown again. It holds no personal information. There is no automatic expiry; it remains until your browser storage is cleared.
- `feedbucket-data` in local browser storage: the feedback widget saves reporter details you enter, including name, email and notification preference, and whether its introduction has been completed. There is no automatic expiry; it remains until removed or your browser storage is cleared.
- `__storage_test__` in local browser storage: the feedback widget briefly writes and removes this test entry to check whether browser storage is available. It is removed immediately by the check.

Embedded Google Maps and Google Fonts connect your browser to Google. We have not verified a fixed list of cookies or their lifetimes for the embedded map, so we do not give names or expiry periods that we cannot confirm. Your browser settings can restrict cookies and clear local storage, although this may affect embedded content and saved feedback details.

## 7. Your rights

Under UK data protection law, you may ask to see your personal information, correct inaccurate information, request deletion or restrict its use. Depending on the circumstances, you may also object to processing and ask for a portable copy of information you provided.

Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing. Some rights have exceptions, including where we need to keep records to meet a legal obligation. Contact us using the details above; we may need to confirm your identity. We normally respond within one month, subject to the extensions allowed by law.

## 8. Complaints and changes

Please contact us if you are concerned about how your information is handled. You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, through the ICO complaints service (https://ico.org.uk/make-a-complaint/) or on 0303 123 1113.

We will update this policy if the way the site handles information changes. The date above shows when this policy was last updated.
